This policy explains what CareRide Mobility collects through this website and how that information is used for non-emergency medical transportation in Wisconsin.

CareRide Mobility provides non-emergency medical transportation in Wisconsin. This page explains how we handle information collected through careridemobility.com and through the phone and email contacts listed on our site.

We keep this simple on purpose: we ask for the minimum needed to schedule a ride, and we do not sell personal information.

Information we collect

When you send a ride request. Rides are not booked or paid for on this website. Our ride request form is a way to reach dispatch, and nothing is scheduled until our team contacts you to confirm. The form may ask for your name, phone number, email address, pickup address, destination or clinic, appointment date and time, whether you need ambulatory or wheelchair-accessible transportation, and any notes you choose to add. If you call or email us instead, we take down the same trip details.

Please keep detailed medical information, including diagnoses, medications, and treatment history, out of the request form and out of email. We only need the logistics of the trip. If something more needs to be discussed, call dispatch at (715) 222-9994.

Once a ride is confirmed, scheduling and trip records are maintained in our dispatch and broker systems rather than on this website.

When a facility or broker books for you. Care coordinators, discharge planners, facilities, and Wisconsin Medicaid transportation brokers may send us the same trip details on your behalf, along with their own contact information.

When you apply to drive. Our Careers form collects your name, phone, email, city and ZIP, license state, vehicle type, availability, and whatever you tell us about your interest in the role. If your application moves forward, screening such as motor vehicle record review, background check, and drug screening is handled separately and only with your written authorization.

Automatically when you visit the site. We may collect standard web data such as IP address, browser and device type, pages viewed, and referring page information.

How we use it

  • To confirm availability, assign the right vehicle, and schedule pickup and return trips.
  • To plan timing around appointment check-in, distance, and treatment schedules.
  • To communicate with you, your caregiver, your clinic, or your case manager about a trip.
  • To verify authorization with Medicaid transportation brokers where applicable.
  • To bill for services.
  • To review and respond to driver applications.
  • To meet safety, insurance, and recordkeeping obligations.
  • To keep the website working.

Who we share it with

We share only what is needed to complete a trip.

  • Our drivers and dispatch team, limited to the details required for the ride.
  • Clinics, facilities, and care coordinators, to confirm arrivals, discharges, and return trips.
  • Medicaid transportation brokers and health plans, for authorization and payment.
  • Technology providers that host our website, run our scheduling and dispatch platform, and deliver our calls, texts, and email.
  • Insurers, legal counsel, and auditors, in connection with incidents or claims.
  • Government agencies or courts, where required by law.

We do not sell or rent your personal information, and we do not use ride information for advertising.

Health information and HIPAA

Trip details connected to your medical care are handled through HIPAA-compliant scheduling and broker platforms, and access is limited to staff who need it. When we transport you under a contract with a healthcare provider, facility, health plan, or Medicaid transportation broker, that organization's Notice of Privacy Practices governs how your protected health information is used and disclosed. Ask them, or ask us, if you are unsure which applies to your rides.

Text messages and calls

If you give us your mobile number, we may call or text you about your rides, including pickup confirmation, driver arrival, schedule changes, and return trips. Message frequency varies. Message and data rates may apply. Reply STOP to opt out of texts, or HELP for help.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.

Opting out of texts does not prevent us from calling you about a scheduled ride.

Cookies

Our site uses cookies to function properly and to understand general traffic patterns. Most browsers let you block or delete cookies, though some features may not work as expected if you do.

Security and retention

Access to rider and trip information is limited to team members and vendors who need it, and our scheduling and communication tools are chosen with the sensitivity of medical trip information in mind. No method of transmission over the internet is completely secure, which is why we ask that detailed medical information be shared by phone rather than by form or email.

We keep trip and billing records as long as needed to provide service and to satisfy broker, insurance, and legal requirements, then dispose of them securely. Driver application information is retained only as long as needed for recruiting, onboarding, compliance, and related recordkeeping purposes, unless you ask us to remove it sooner where permitted.

Your choices

  • Ask us to review, correct, or delete the contact and trip information we hold about you.
  • Tell dispatch whether you prefer phone, text, or email.
  • Reply STOP to end text messages.
  • Ask your healthcare provider, health plan, or broker about your HIPAA rights for records they hold.

Our services are arranged by adults, guardians, or authorized representatives. We do not knowingly collect information directly from children through this website.
